Administrators can now connect a SharePoint folder to the AI-Public knowledge base. Documents in that folder and its subfolders are processed. This makes it easier to make, for example, work instructions for municipal services or internal process documents available from a single central source.
To connect a folder, go to Management → Knowledge base → Add → SharePoint folders → Connect folder. Enter a title and the folder URL, choose the scope and target audience, and set the publication status to Published. Before doing so, the organization’s own Microsoft app needs the Sites.Selected permission, approved by an administrator (admin consent). Read access to the relevant SharePoint site must also be granted separately.
AI-Public checks the folder every 15 minutes and then processes new, modified, and deleted files. An administrator can start a check immediately by selecting Sync now. Refresh only displays the current processing status; it does not start a sync.
Published documents are available according to the existing knowledge base permissions. Employees do not need to enable a personal SharePoint connector. If an administrator disconnects the source via SharePoint folders → Disconnect, new imports stop and the linked documents are immediately hidden from the knowledge base. The original files remain in SharePoint; saved private copies remain in the AI environment.
This allows public-sector organizations to keep their knowledge base up to date from a central document folder while preserving the configured access to published knowledge.
