Introduction
AI-Public has a comprehensive management environment. Depending on the settings for each role, you will see the following tiles:
Managing Models
On the page Admin Area → AI Settings → Models you determine which AI providers are available in the environment. Users then choose a preferred provider in Preferences. The actual models come from AI-Public's central model catalog and are no longer selected manually per environment from a list of models.

Setting Up the Environment
Every organization receives its own environment within AI-Public. This environment must be selected before login options are displayed.

Manage Locations
After the basic environment setup, locations must first be added.
Managing Employees
After adding locations, employees can be added per location. In the toolbar, you can find a switch to toggle between locations.
Manage Topics
After adding branches, topics need to be added.
Limitations
In Environment → Limitations you set the daily limits for images and chat messages of employees. A soft limit warns; a hard limit blocks further use until the quota is reset.
System Prompts
Via System Prompts you determine which fixed instructions AI-Public receives for every new chat from an employee. They steer, for example, tone, comprehensibility, terminology, and public service frameworks.
Tools
Via the Tools tile in the management environment, you set which tools and connectors are available per AI provider. This determines which additional capabilities the AI can use in a conversation, such as internet searching, image generation, calculations, route planning, or information recording.
Features
Via Features you determine which functions employees are allowed to use. AI-Public does not have student settings here.
Privacy Protection (PII)
The Privacy Protection tile lets AI-Public automatically check chat messages for personally identifiable information (PII) before they are sent to the AI. Per category, you configure how the system handles detected data.
Onboarding
The Onboarding tile in the management environment lets you configure what staff see during their first login. You can show a pop-up message and require an onboarding video before the first-login steps are completed.
Chat Messages Dashboard
Via the "Chat Messages" tile, you gain insight into the average number of chat messages and images per active account. This serves as a Fair Use indication for environment usage.
Chats Dashboard
Via the "Chats" tile, you get insight into the total API costs for the current month.
Managing Assistants
In the management environment, organization administrators can get an overview of all assistants created within the organization. They can view, share, and make these assistants available organization-wide.
Managing Accounts
The accounts overview provides administrators with insight into all user accounts within the organization. Here you can manage accounts, view statistics, and perform collective actions.
Branding
Administrators can manage the environment branding with a title, colours and logos. The branding is used in the interface and by free documents. A website address can be analysed to suggest logos and colours.
Managing document templates
Document templates make fixed Word documents available for Text to document. Users can choose active templates from the environment and, where applicable, from their school or branch.
