Whether you are writing policy documents, answering questions from the public or analysing complex documents, a dedicated AI assistant can save you a great deal of time. Until now, you had to configure such an assistant manually using system instructions, model selections and the right tools. With the new Create assistant with AI feature, that is now a thing of the past.

When you go to Assistants in the menu, you will find the new Create assistant with AI button at the top. Clicking it starts a short, smart workflow. Simply enter a name and a brief description of what the assistant should do – for example: "An assistant that checks texts for B1-level language for municipal communications."

AI-Public will then immediately generate a complete proposal. This proposal includes a suitable name, an effective system instruction (system prompt), an appropriate initial user question and the right settings, such as the language model and useful features like internet-enabled search. You can review the proposal, make any manual adjustments and save it. Once saved, your new assistant is immediately ready to use for testing or getting to work.

This update helps public-sector professionals build tools for their daily tasks even more quickly and effectively. You remain fully in control, while the technical configuration is taken care of for you.

With the arrival of the new models GPT-5.6 Luna, GPT-5.6 Terra, and GPT-5.6 Sol, there is now a suitable level of support for every task within the public sector.

The three models are optimized for different types of work:

• GPT-5.6 Luna: The fast and cost-efficient standard for everyday office tasks. Luna is ideal for quickly writing public communications, summarizing emails, or preparing a first draft of an internal memo.
• GPT-5.6 Terra: This powerful model offers greater depth and enhanced intelligence for more complex challenges. Terra is particularly well suited to analyzing policy documents, structuring participation reports, and conducting complex text analyses.

To make these processes more efficient, AI-Public now supports integration with n8n workflows. This creates a smart and secure bridge between AI-Public and the systems your organization already uses. It is ideal for automating tasks outside the app with the many integrations n8n has to offer.

Suppose your organization uses an n8n workflow that publishes approved news items directly to your municipal website or intranet. In AI-Public, you now only enter a short idea or a few key points about a new policy initiative or project. You then start the n8n workflow. Behind the scenes, a language model turns it into an accessible, clear text in your organization’s tone of voice, a suitable image is generated, and the post is immediately ready as a draft in your content management system.

When a workflow requires specific input, AI-Public first opens a clear form. After filling in the fields (such as text, numbers, or a date), this information is securely sent to n8n via a protected webhook as a JSON package. Does a workflow not require any additional input? Then the action starts immediately with the press of a button from the workflow overview.

Administrators can easily register n8n workflows within the app. To do so, go to Assistants, open Workflows, and choose New n8n workflow. After entering the name, the n8n production URL, and the required header security, the workflow is immediately ready for use by your team.

Within the public sector, structured and secure document management is essential. To make it easier to store generated texts, policy notes, or public information in the right place, AI-Public is introducing Connections with online folders. This lets you easily connect the app to Google Drive, OneDrive, or SharePoint.

When the connection is active, you no longer need to first download files locally and then move them manually. You can now upload documents directly from the File Management section or the document viewer in AI-Public to a preselected cloud folder. This saves time and helps archive working files centrally and securely right away within your organization’s existing folder structure.

Setting up a connection is easy. In AI-Public, go to Preferences and choose Connections with online folders. Click Add connection and select the desired cloud storage. Using the built-in folder picker, you then select the specific destination folder. You can set up multiple connections side by side and choose which folder will be the destination for each upload.

Log in to AI-Public, go to your Preferences, and connect your online work folders today to work faster and more efficiently right away.

Administrators can now invite new users and help them find their way around AI-Public even more easily.

A smooth start is essential for the successful and safe use of artificial intelligence within public organizations. That is why we have expanded user management in AI-Public with two valuable features: direct welcome emails and streamlined onboarding.

Administrators can now send a personal welcome email immediately when creating employees, or at a later time via the employee list. In this email, employees receive their login details and a clear explanation of the platform. The action button in the employee overview also makes it easy to keep track of the sending status and the content of the emails that have been sent.

In addition, as an administrator you can now set up a mandatory onboarding video via the Onboarding tile in the admin environment. New users will see this video during their first sign-in and can only continue after they have watched it in full. This is ideal for immediately introducing employees to guidelines for confidential data use, municipal policies, or practical basic tips for writing clear public-facing communications.

Where you previously had to upload documents manually, the desktop app can now read and write files directly on your computer. This makes it possible to edit Excel files, work on Word documents, and generate PDF reports directly in a local folder of your choice. Files that require conversion, such as .docx or .xlsx files, are processed automatically and in the background by the application.

You can easily set up this feature in the desktop app settings. Under Settings -> Local files, add the desired folder once. From that moment on, AI-Public can analyze and edit files within this folder, ensuring a faster workflow and optimal control over your local document management.

New models are now available in AI-Public to help you work even more efficiently and accurately within the public sector. The main addition is the new model for the transcription module: gpt-4o-transcribe-diarize.

This model automatically recognizes when a different speaker is talking. This makes transcribing interviews, public participation meetings, or discussions with colleagues much more manageable. The text is immediately divided by person (for example, Speaker A and Speaker B), significantly reducing the time you spend manually editing conversation reports. The improved transcription with speaker recognition is applied automatically when you start the transcription module for your audio recordings.

In addition, we have added Gemini 3.5 Flash to the range of language models. This model is specifically designed for speed and efficiency. It is ideally suited for tasks where you need immediate results, such as generating short text suggestions for public communication, quickly summarizing incoming correspondence, or answering factual questions during your work.

With these updates, you can spend more time on the substance of your work, while AI-Public handles supporting tasks faster and more clearly for you.

Document creation in AI-Public has been revamped. You can now choose between two ways to turn your text into a professional document: Free input or using Templates. This combines the power of AI with the quality standards and corporate identity of your public organization.

With the Free input option, you create a document based on a prompt. This gives you maximum freedom in structure and content. It is the ideal choice for developing an initial draft of a policy document, an internal memo, or a creative outline for a project plan. AI-Public helps you define the structure, while you remain fully in control.

In addition, AI-Public now supports working with Templates. These are specific formats that have been prepared by your own organization. Think of official resident letters, standard reporting formats, or records. By choosing a template, you can be sure that the document immediately complies with the correct corporate identity and organizational guidelines. The AI fills in the required fields, after which you can download the result directly as an editable file.

AI-Public has updated the real-time models for voice chat. Gemini Live has been upgraded to Gemini Live 3.1 and OpenAI Realtime has been upgraded to OpenAI Realtime 2. With this update, voice chat is once again faster, more natural, and more pleasant to use. Conversations feel smoother, spoken questions are processed better, and responses align more closely with the context of the conversation. This is useful when you use AI-Public to ask questions verbally, discuss public information, prepare internal instructions, or quickly develop a text idea without typing. Voice chat therefore remains an accessible way to work with AI. You do not need to install anything yourself. The new models are available in voice chat.

An unclear request often results in a general or less relevant outcome. Suppose you ask AI: “Give me information about traveling.” Then AI doesn't know exactly what you mean. Is it about a vacation, work, budget tips, or a specific destination? Without additional context, AI has to guess, and that shows in the answer.

That's why it's useful to ###prompt SMART. SMART is a simple way to clarify your questions:

S – Be Specific Indicate what you want: explanation, advice, inspiration, an overview, or a comparison.

M – Indicate Length Do you want a brief explanation, a list, or a detailed answer?

A – Provide Information Share something about your situation or goal. For example: what you are using it for, what you already know, or what you find important.

R – Choose Format Indicate how you want to receive the answer, such as in steps, bullet points, a chart, or a short text.

By structuring your prompts SMART, you help AI better understand what you are looking for. This leads to clearer, more relevant, and more usable answers, without extra effort.

The mobile app features a compact and user-friendly interface that works well with touch control. You can ask questions to AI, open conversations, and continue where you left off, even on a smaller screen.

For users, the mobile app is a practical way to use AI-Public at home or on the go. Looking something up, getting explanations, or working with AI can now be done without a laptop, at times when a computer is less convenient.

A new feature has been added: process per file. This allows you to write one prompt and apply it to multiple documents at once.

This is useful if you want to summarize or analyze several texts, versions, or files. Think of: “Provide a brief summary for each document and highlight the key points.” You will then receive a separate response for each file in the same format.

You can also add extra documents as context, so that the output better aligns with what you need. This way, you work more clearly and save time when processing multiple documents.

AI models are getting better and better. Not just the large ones, but also the smaller ones. In practice, lightweight models can now handle most questions quite well. They are faster, cheaper, and often more than sufficient.

That’s why we have added a new way to work with models: the thinking model. Currently, this feature is only set up with Gemini 3.0 Pro. By default, you use a fast, small model for daily questions.

If you need more depth, for example in a more complex analysis or longer reasoning, you can activate the larger model via the brain icon next to the send button. For Gemini 3.0 Pro, this is linked to Gemini 2.5 Flash. This keeps the experience fast and smooth, with extra thinking power at your fingertips when needed.

Other models, such as GPT-5.2, work as you are used to and do not have this setting. In the coming period, we will evaluate how this way of working is experienced. Based on that, we will consider whether to implement this more broadly with other models.
